Agreement and eligibility
Fleetlyf is offered to business customers in supported countries worldwide. By creating an account, accepting an invitation, purchasing a subscription, or using Fleetlyf, you agree to these Terms and the Privacy Policy. You must be legally able to enter this agreement and, when acting for a company, authorized to bind or administer that company’s workspace. Fleetlyf is intended for business use by adults.
What Fleetlyf provides
Fleetlyf is a no-hardware fleet accountability and record-management service. It supports vehicle and driver records, trip planning, office-entered results, optional driver checkpoints, mileage verification, fuel, maintenance, issues, review workflows, reports, exports, and audit history according to the selected plan.
- Fleetlyf is not continuous telematics, theft recovery, emergency response, route surveillance, or a replacement for legally required vehicle equipment.
- Route, traffic, geocoding, OCR, estimated ranges, reminders, and generated explanations can be delayed, unavailable, or incomplete and must be checked by an authorized person.
- Review signals are factual prompts for human review. Fleetlyf does not make employment, disciplinary, safety, insurance, or legal decisions for a customer.
Company responsibilities
- Use Fleetlyf only for lawful business purposes and provide required notices to drivers, employees, contractors, and other affected people.
- Choose appropriate roles, permissions, trip workflow, review controls, retention practices, and devices for the company’s operation.
- Keep account credentials, company devices, invitations, exports, and printed records secure.
- Verify vehicle safety, driver eligibility, regulatory compliance, route suitability, maintenance decisions, and all final operational decisions independently.
- Keep records accurate and use correction, review, archive, and audit tools instead of intentionally entering misleading information.
- Maintain the internet access, compatible browser, camera, location permission, and device capability required for the features the company chooses to use.
Accounts, companies, and access
One person may belong to more than one company, with a separate role and record context in each company. A company manager controls team access. Removing access from one company does not delete the person’s global Fleetlyf account or access to another active company. Historical references can be retained for audit continuity even after a member, driver, vehicle, or record is archived.
Customer records and evidence
The customer retains its rights in information entered into its workspace. The customer grants Fleetlyf permission to host, process, reproduce, format, transmit, and display that information as necessary to operate, secure, support, and improve the service. The customer confirms it has authority to provide the information and instructions it submits.
- Raw GPS coordinates remain evidence when captured; nearby-location labels do not replace them.
- Accepted odometer photos are deleted immediately after validation. Abandoned uploads that were never attached to a trip expire within seven days. Photos attached to an unresolved review remain available until management records a decision. Confirmed readings and audit history remain.
- Deleting or archiving a record may preserve linked references, audit events, decisions, or legally required information.
Trials, plans, billing, and cancellation
Fleetlyf may offer a limited trial. When a trial or paid subscription ends, the workspace may become read-only while records remain available under the applicable retention process. Paid plans renew monthly unless cancelled through the billing portal or as otherwise stated at checkout. Prices depend on the selected plan and billable vehicle count and may include taxes or provider charges shown before purchase.
- Payment processing and billing-portal services are provided by Dodo Payments and its partners.
- A failed renewal may receive the stated payment grace period before workspace changes are disabled.
- Cancellation scheduled for period end does not normally remove paid access before that period ends.
- Plan changes, vehicle-count adjustments, refunds, and taxes follow the checkout terms, invoice, applicable law, and any policy displayed in the billing interface.
Acceptable use
You may not misuse Fleetlyf or help another person do so.
- Do not access another company or person’s records without authorization.
- Do not upload malicious code, unlawful material, fabricated evidence intended to harm another person, or content that infringes rights.
- Do not bypass rate limits, security, subscription enforcement, review controls, or access restrictions.
- Do not scrape, overload, reverse engineer, resell, or copy the service except where applicable law expressly permits it.
- Do not use Fleetlyf as the sole basis for an automated decision that materially affects a person.
Third-party services
Fleetlyf depends on services such as Google sign-in, maps, geocoding, routes and Gemini, email delivery, hosting infrastructure, and Dodo Payments. Their availability, accuracy, and separate terms may affect related Fleetlyf features. Fleetlyf is not responsible for a third-party service outside Fleetlyf’s reasonable control, but will use reasonable efforts to handle failures clearly.
Availability and changes
Fleetlyf may maintain, secure, modify, suspend, or discontinue parts of the service. Reasonable notice will be provided for material changes when practical. Beta, pilot, demo, and preview features may change more frequently and may have additional limits.
Disclaimers
To the extent permitted by law, Fleetlyf is provided on an “as available” basis. Fleetlyf does not guarantee uninterrupted operation, perfect OCR, exact traffic or route estimates, complete evidence, regulatory compliance, prevention of misuse, or a particular business outcome. Nothing in these Terms excludes warranties or rights that cannot lawfully be excluded.
Responsibility and liability
Each party remains responsible for its own unlawful conduct, negligence, security obligations, and decisions. To the extent permitted by law, Fleetlyf is not liable for indirect, incidental, special, consequential, exemplary, or lost-profit damages arising from use of the service. Any aggregate liability that may lawfully be limited will not exceed the fees paid for the affected service during the twelve months before the event giving rise to the claim. These limits do not apply where applicable law does not allow them.
Suspension and termination
Fleetlyf may restrict or suspend access for non-payment, security risk, unlawful use, material breach, or protection of customers and the service. A customer may cancel through the billing tools. After termination, access and retention follow the subscription state, Privacy Policy, applicable law, and any export or recovery period presented in the service.
Governing law and local rights
These Terms are governed by the laws of the Republic of the Philippines. Fleetlyf’s global availability does not remove mandatory consumer, employment, privacy, or other protections that apply in a customer’s or user’s jurisdiction. Before filing a formal claim, contact support@fleetlyf.com so the parties can attempt to resolve the issue in good faith.
Changes to these Terms
Fleetlyf may update these Terms as the service and legal requirements change. Material changes will be dated and communicated through the service or account contact information where appropriate. Continued use after the effective date means acceptance where permitted by law.
